Monitor field employee activity with GPS Live Tracking

Managing field employees is challenging due to limited visibility into their real-time movements, work hours, and client visits. Reliance on manual updates or self-reported data often leads to inaccurate attendance records, disputes, and compliance gaps.

The GPS Live Tracking feature in greytHR enables managers to monitor their team’s field attendance and daily activities. As a manager, you can view employee timelines, travel history, and client visits to ensure accountability, transparency, and efficient workforce management.

View employee status with GPS Live Tracking

Once the admin has enabled GPS Live Tracking and assigned the required access rights, you can view team tracking details from the greytHR mobile app. For each employee, you can view a daily summary that includes:

  • Total number of visits completed

  • Total travel time

  • Total distance covered

Steps to monitor employee attendance

  1. From the greytHR mobile app, tap Explore > Attendance.

  2. Tap Team Tracking.

  3. Use the calendar option to select the required date (current or past).

The Team Tracking dashboard displays the active status of employees, such as employees who are signed in, travelling, checked in at a location, signed out and whose  GPS signal is lost.

Employee status is indicated using colour-coded symbols to help you understand the situation quickly:

  • Red colour – Indicates GPS signal is lost or location services are turned off.

  • Green colour –Indicates whether the employee has checked in, checked out or is travelling.

  • Blue colour - Indicates whether the employee has signed in and signed out.

Search and view employee location timelines

You can use the search option to find an employee by Employee ID or name.

When you select an employee:

  • They are taken to the employee’s timeline summary screen.

The screen displays a detailed route map showing the employee’s movement for the selected day.

The timeline includes:

  • Sign-in and sign-out locations with time

  • Client check-ins and check-outs

  • Travel routes between locations

  • Time travelled during the day

  • Distance covered

  • Number of client visits completed

All timeline entries are shown in chronological order, starting from sign-in and ending with sign-out, covering the employee’s complete workday.

You can switch between different employees or dates to review multiple records.

GPS Tracking access limitations

Scenario 1: Manager Not Assigned to a GPS-Enabled Attendance Scheme

If you or the reviewer is not assigned to a GPS-enabled attendance scheme, the My Tracking option will not be available to them. In such cases, you will see only the Team Tracking option under the Attendance section.

Scenario 2: Employee Not Assigned to a GPS Live Tracking Scheme

If you are searching for an employee who is not assigned to a GPS Live Tracking attendance scheme, the employee will appear in the search results. However, when you select the employee, no tracking data will be displayed, and the tracking screen will appear empty, indicating ‘GPS Tracking not available’.

Scenario 3: Employee Not Signed In
If you are searching for an employee who has not signed in for the day, an empty state screen is shown with the message “Employee is Not Yet In.”

Scenario 4: Employee on Leave
When you search for an employee who is on leave for the day, an empty state screen is shown with the message “Employee On Leave.”

Scenario 5: Company Holiday
When you search for an employee on a company holiday, an empty state screen is shown with the message “Employee On Holiday."

Scenario 6: Employee on Week Off
When you search for an employee who is on a scheduled week off, an empty state screen is shown with the message “Employee On Week Off.”

Frequently Asked Questions

What can managers see in GPS Live Tracking?

Mangers can view their team members’ GPS tracking details for selected dates. This includes employee sign-in and sign-out details, client check-ins and check-outs, travel routes, time travelled, distance covered, number of visits completed, and the full timeline in chronological order. Managers can also see the current status of employees, such as travelling, checked in, signed out, or GPS signal lost.

How do managers access GPS Live Tracking?

Managers can access GPS Live Tracking from the greytHR mobile app:

  • Go to Explore > Attendance > Team Tracking

This option is visible only if the admin has enabled GPS Live Tracking and assigned the required access rights to the manager role.

Does GPS Live Tracking apply to all employees by default?

No. GPS Live Tracking applies only to employees who are assigned to a GPS-enabled attendance scheme.Managers may be able to search for other employees, but tracking details will not be available for employees who are not assigned to a GPS Live Tracking scheme.

What happens if GPS or location permission is turned off?

If an employee’s GPS signal is lost or location services are turned off, this status is clearly indicated to the manager on the Team Tracking screen. The event is also reflected in the employee’s timeline, helping managers understand gaps or interruptions in tracking data.

Do manager need special permissions to access Live Tracking?

Yes. The admin must assign managers access rights for GPS Live Tracking under the manager role.

Can managers track employees in real time?

Yes. Managers can see employee status, such as travelling, checked in, signed out, or GPS signal lost for the current day.

Can managers search for a specific employee?

Yes. Use the search option to find employees by name or employee ID.

Do the manager see the same data as employees?

Manager can see the same timeline data as employees, along with route maps and summaries, for review and monitoring purposes.

Can managers view data that are past?

Yes. Use the calendar option to select past dates and view employee timelines for those days.

How quickly is employee location updated on managers Team Tracking screen?

Employee location and status are updated in near real time with negligible lag. Managers can pull to refresh on mobile to get the latest status for the team.

What do the different employee statuses mean on the Team Tracking screen?

The statuses visible on the Team Tracking screen are:

  • Travelling (employee is in transit),

  • Checked In (employee is at a client location),

  • Signed In (employee has signed in but not yet at a client location),

  • GPS Lost (GPS signal or location permission is unavailable), and

  • Signed Out (employee has completed the workday).

Can manager see the reason why an employee's GPS was lost?

Not currently. The system shows GPS Lost status and the duration of the gap but does not distinguish between reasons such as manually switched off, network loss, or poor signal. The manager can follow up with the employee for context.

Can managers see all the team members' locations on a single map at the same time?

Not currently. Managers need to select an individual employee to view their specific route and location. A bulk map view showing all employees simultaneously is not available in the current release.

What should managers do if an employee's tracking shows GPS Lost for an extended period?

GPS Lost for extended periods may indicate the employee turned off location services, had poor network coverage, or was in an area with weak signal such as a basement. Review the timeline for context and follow up with the employee if needed.

Can manager view tracking data for employees who are not on a GPS Live Tracking attendance scheme?

No. Tracking details are only available for employees assigned to a GPS Live Tracking attendance scheme. If a manger searches for an employee not on this scheme, an empty state will be shown.
