View, override, and reassign team members' split shift

A split shift is a work schedule where employees' daily working hours are divided into two or more separate sessions with longer break hours. Split shifts benefit managers by providing flexibility in scheduling, better coverage during busy hours, and efficient resource allocation. This helps reduce overtime costs and accommodate individual employee preferences, leading to improved work-life balance and increased job satisfaction.

In greytHR, you can manage your team member's split shifts hassle-free. As a manager, you can:

  1. Override split shift attendance.

    1. Date wise

    2. Employee wise

  2. View split shift sign-in status.

  3. View and re-assign team member's shift.

Override split shift attendance

You can override the team members’ attendance for split shifts date wise and employee wise:

Date wise:

You can choose to override attendance date wise for an individual employee or bulk employees.

  1. From the greytHR ESS portal, click Attendance > Attendance Muster. The Attendance Muster page appears.

  2. Click the Bulk Override tab.

  3. Select the Date wise option.

  4. From the Select Date dropdown calendar, select the date for which you want to override attendance.

  5. Under Select employee(s) to Override, you can override attendance for:

    1. Individual employees:

      1. To override an individual team member's split shift attendance details, click the Single Employee Override option. A table appears with a list of team members.

      2. Select the required team member using the checkbox in the table. 

      3. Override the selected team member’s attendance based on Status/Time.

        1. To override the selected team member's attendance time wise, in the table, from the Override column, select Time. In the In and Out fields, under Session 1 and Session 2 fields, enter the timings as per your requirements.

        2. To override the selected team member's attendance status wise, in the table, from the Override column, select Status. Under the Status column, from the Session 1 and Session 2 dropdown lists, select the appropriate options.

      4. Click Override Now to override the selected team member’s attendance details.

    2. Bulk Employees: To override team members' attendance details date wise in bulk, click the Bulk Employee Override option. A table appears with a list of team members.

      1. Select the required team members using the checkbox in the table. 

      2. You can override the selected team member’s attendance based on Status/Time.

      3. On the right side of the application, in the Override Attendance details side panel, select the Status wise/Time wise option as per your requirements.

        1. To override bulk employees status wise, from the Override session 1 status and Override session 2 status dropdown list, select the required status.

        2. To override bulk employees time wise, the Session 1 and Session 2 sections appear. Under Session 1 and Session 2, enter the required timings in the Override in time and Override out time date picker boxes as per your requirements.

      4. Click Override Now to override the selected team members’ attendance details successfully.

Employee wise:

You can choose to override attendance employee wise for an individual employee. To override attendance employee wise for an individual employee, perform the following actions:

  1. From the greytHR ESS portal, click Attendance > Attendance Muster. The Attendance Muster page appears.

  2. Click the Bulk Override tab.

  3. Click the Employee wise option.

  4. From the Select Employee search box, search for the team member whose attendance you want to override.

  5. From the Select Date dropdown calendar, select the date range for which you want to override attendance for multiple team members.

    Note: You can only select a date range within 30 days.

  6. From the Select Dates to Override details table, select the dates for which you want to override attendance. 

  7. You can override the attendance for a specific date based on Status/Time.

    1. To override the attendance time wise, scroll towards the right side, and in the Override column, select Time. For Session 1 and Session 2, the In and Out date-picker boxes appear. Enter the timings as per your requirements.

    2. To override the attendance status wise, scroll towards the right side, and in the Override column, select Status. In the Status column, from the Session 1 and Session 2 dropdown lists, select the required options.

  8. Click Override Now to override the selected team member’s attendance details for specific dates.

View split shift sign-in status

You can view the split shift status of your team members on the Who Is In page.

To view the split shift sign-in status, perform the following actions:

  1. From the greytHR ESS portal, click Attendance > Who Is In. The Who Is In page appears.

  2. On the top left corner of the page, from the Date dropdown calendar, select the required date and year.

  3. Click the arrow available in the Select Shifts box. The Shift pop-up appears.

  4. Under the Split tab, a list of split shifts appears.

    Note:

    1. You can only view the Split tab if your admin has enabled the Split Shift option.

    2. You can only select one type of shift at a time.

  5. Select the shift(s) as per your requirements. Click Save. The Who Is In page now displays the sign-in information of the team members assigned to the selected shift session-wise.

  6. Select the Session 1/Session 2 option to view the session-wise details. The session-wise information displays in the following cards:

  • The Not Yet In card displays information about the team members who still need to mark their attendance.

  • The Late Arrivals card displays the information regarding the team members who have not reached the organization at the expected time. It also displays the Sign In Time and Late By (HH: MM) time information.

  • The On Time card gives you the Sign In Time information and data about the team members who reached at the expected time.

  • The On Leave card displays information about the team members who are on leave for the selected date.

  • Click the Download icon on any card to download the team members' sign-in status report.

View and re-assign team member's shift

You can also view and re-assign your team members' shifts as per your requirements.

To view and override the split shift attendance information, perform the following actions:

  1. From the greytHR ESS portal, click Attendance > Attendance Info. The Attendance Info page appears.

  2. From the Me dropdown list, search for the team member's name or employee ID, whose attendance information you want to view.

    The page displays insight cards for AVG. WORK HRS, AVG. ACTUAL WORK HRS, and PENALTY DAYS for the selected team member. To view more insight cards, click +INSIGHTS. Insights for attendance period pop-up appears and displays complete information as text and chart.

  3. Next to Legend, select the Calendar view.

    1. The Calendar view displays the attendance details for a specific month in the form of a calendar. The dates display information using color codes. Click the Legend link available on the right side of the page to understand the color codes.

    2. In the Calendar view, you can view the following information cards:

      1. Shift and Scheme Details: The card displays the Date, Shift name, and Attendance scheme for the selected team member. You can override the shift name and scheme details using the Edit icon.

        1. Change Shift: Click the Edit icon available next to Shift Name. The Change Shift pop-up appears. Using the Day Type and Shift Type dropdown list, override the information as per your requirements. Click Save. Pop-up closes.

          Note:

          1. The Split Shift type will be available only if your admin has enabled the Split Shift option. You can only re-assign the shift as per the access rights provided by your admin.

          2. You can either change the Shift Type or the Day type or a combination of both.

        2. You can also view the Processed on information with various fields such as First In, Last Out, Total Work Hrs, and more. These fields can be configured on the Attendance Options page.

      2. Status Details: The card displays the Status and Remarks of the selected team member's attendance.

      3. Session Details: The card displays the team member's recorded Session Timing, First InLast Out, Late In hrs, and Early Out hrs.

      4. Overtime Info: The card displays the overtime information of the team member, if any.

      5. Permission Info: The card displays the permission requests applied by the team member and its associated information such as Approved status, Applied status, permission Type, and more.

      6. Swipes: The card displays the employee's recorded swipe details for a selected date such as Swipe Time and Location. You can also click Info to view the detailed information.

        Note: You can view the In/Out information only if the option is configured from the Attendance Options settings page.

  4. Next to Legend, select the Table view.

    1. The Table view displays the attendance details for a specific month in the form of a table. It displays information such as First In, Last Out, total Work Hrs, total Actual Hrs, Status of presence, Permission details, Overtime information, and more.

    2. From the Select date range dropdown calendar, select the required date range. You can perform the following actions for the selected range.

      1. Change Shift: In the table, under the Shift column, on any date row, click the shift name. The Change Shift pop-up appears. Using the Day Type and Shift Type dropdown list, override the information as per your requirements. Click Save. Pop-up closes.

      2. Swipe Details: In the table, under the Swipe Details column, on any date row, click Info. The Swipe Details pop-up appears and displays the swipes for both session 1 and session 2. Click Close. Pop-up closes.

      3. Permission Details: In the table, under the Permission Details column, on any date row, click Info. The Permission Details pop-up appears and displays the permission details for the selected date range. Click Close. Pop-up closes.
