Request letter on behalf of team member

Many employees may not have their employee self-service portal or smartphones to access their documents. One example of such employees is blue-collar employees.

The Document Center page in the greytHR ESS portal allows you to request letters on behalf of such employees. 

As a manager, you can perform the following actions on behalf of your team members on the Document Center page:

  1. Request letter on behalf of team member.

  2. Withdraw requested letter.

Request letter on behalf of team member

To request a letter on behalf of the team member, perform the following actions:

  1. From the greytHR ESS portal, navigate to Document Center.

  2. On the Document Center page, under Request, click View All. The letters page opens.

  3. Under the Request Letter tab, under the Apply tab, from the Me dropdown list, select the employee on behalf of whom you want to request a letter.
    Note: You can view the approver on the right side of the page.

  4. From the Letter Type dropdown list, select the required letter type.

  5. From the Priority dropdown list, select the urgency of generating the letter. 

  6. In the Reason text box, specify the reason for raising the required letter. 

  7. Click Submit to raise the request for the required letter.

Withdraw requested letter

To withdraw the requested letter, perform the following actions:

  1. From the greytHR ESS portal, navigate to Document Center.

  2. On the Document Center page, under Request, click View All. The letters page opens.

  3. Under the Request Letter tab, under the Pending tab, click the requested letter card. The card expands.

  4. Click the Withdraw button to withdraw the requested letter.

Note: You can view all the withdrawn letter applications under the History tab.
