The onboarding process from an employee's perspective refers to the experience and activities involved when joining a new organization or starting a new position. The HR admin initiates the onboarding process to capture all your personal information, along with the supporting documents, which reflects in the database.
The Employee Onboarding process in greytHR allows you as an employee to provide all the information required for initiating your hiring process.
To view the Employee Onboarding form, open the welcome email you have received from greytHR, and click the Let's Get Started button.
You can fill in the following information in the Employee Onboarding form:
Upload a picture: On the onboarding landing screen, click the Edit icon on the profile picture to upload your photograph. You can also choose to upload your picture later.
Personal information: Click the Personal Information icon to enter personal details such as Address, Emergency Contact Information, and Qualifications. You can add more than one qualification by clicking +Add another education.
Note: You can also update the Grade/Percentage of your educational qualifications.
Previous employment details: Click the Previous Employment icon to enter your past employment details along with the timelines. You can add more than one previous employment detail by clicking +Add another employment.
Accounts and statutory details: Click the Accounts & Statutory icon to enter details such as your Bank, PF, EPS, Aadhaar, Passport, Insurance, and Registration Details. You can add more than one insurance detail by clicking +Add another insurance.
Note: You can search for your bank code by clicking Search your bank.
Family details: Click the Family Details icon to enter your family members’ details, such as family member’s Name, Relationship, and DOB. Click +Add another member to add more than one family member's details.
In case the family member is a minor or is afflicted with mental illness, select the Minor/Mental Illness checkbox and enter the required guardian details.
Nomination Details: Click the Nomination Details icon to select your family members listed in the Family Details section as nominees for EPF, EPS, ESI, and Gratuity. The Nomination % text box allows you to choose the nomination percentage you want to provide to your family members. Click +Add another member to add more than one nominee's details.
Upload educational & professional documents and ID proof: Click the Attachments icon to upload the supporting documents for the details you provided in the previous sections.
Attachments: Once you complete adding all the information, you must fill out the onboarding forms released by your admin and attach the required documents. Some forms might be prefilled with some information per your admin’s configurations.
As a first step, click the Download button. The form downloads in pdf format. Fill in the required information other than the prefilled information and save it in your local folder.
As a next step, click the Attach option to upload the filled form. From the browsing window, select the required form and click Open. The selected form gets uploaded successfully.
After adding all the information and attaching the required documents/forms, the Information Summary page appears. You can also review and edit the summary of the information by using the Edit Form option.
If you have already submitted the employee onboarding form earlier, you can view that information prefilled in the onboarding form. You can also edit the pre-filled information.
Follow the same instructions for other intended forms released by your admin and click Submit Onboarding.
