Log and submit your timesheet on the greytHR mobile app

Keeping track of the hours you work across different tasks and projects can be challenging, especially when you are expected to log time accurately for payroll or billing purposes. Without a dedicated tool, it is easy to lose track of what you worked on, for how long, and whether it was billable or not.

greytHR's Timesheet module on the mobile app solves this by giving you a simple, structured way to log your work hours on the go. You can record tasks against projects, mark them as billable or non-billable, submit your timesheet for approval, and track the status of your submissions β€” all from within the greytHR app.

To view timesheets, open the greytHR mobile app, tap Explore > Timesheets > My Timesheets.

Your timesheet opens for the current period β€” weekly or monthly, based on your organisation's policy. Use the carousel at the top to navigate between periods.

The summary at the top shows:

  • Days logged β€” number of days you have logged tasks for.

  • Time logged β€” total hours logged for the period.

  • Time left β€” remaining hours to be logged based on your expected total.

Log a task

  1. On the My Timesheets screen, tap the arrow (β†’) next to the day you want to log time for.

  2. Tap Add New Task.

  3. Select the Project from the dropdown. This field appears only if your admin has enabled project selection in the timesheet policy. Only projects assigned to you are available in the dropdown.Β 

  4. Enter the Task Name.

  5. Select whether the hours are Billable or Non-Billable. This option appears only if your admin has enabled billability tracking in the timesheet policy. If enabled, you may or may not be able to modify this based on how the project has been configured.Β 

  6. Enter the Start Time and End Time, or the total hours β€” based on your organisation's policy.

  7. Enter a Task Description.

  8. If your organisation has made attachments or notes mandatory, add them before saving.

  9. Tap Save.

The task appears under that day. You can tap it to edit or delete it. Tap Add New Task again to log additional tasks for the same day.

Copy tasks from a previous day

To save time, you can copy tasks logged on a previous day.

  1. On the My Timesheets screen, tap the day you want to copy tasks to.

  2. Tap Copy Tasks.

  3. A calendar opens showing only the dates that have tasks logged. Select the date you want to copy from.

  4. Review the tasks and tap Confirm.

The copied tasks appear under the selected day. You can edit them before submitting.

Submit your timesheet

You can submit a timesheet only when you have logged all the required hours for the period.

  1. On the My Timesheets screen, tap Submit Timesheet.

  2. A confirmation screen appears showing:

    1. The submission period.

    2. Total hours logged.

    3. Time remaining.

    4. The reviewer your timesheet is being sent to.

  3. Tap Confirm to submit.

A confirmation message appears once the timesheet is submitted successfully.

Track your submission status

After submitting, you can view the status of each task and the overall timesheet from the My Timesheets screen.

Each task shows one of the following statuses:

  • Approved β€” the reviewer has approved the task.

  • Rejected β€” the reviewer has rejected the task.

  • Pending β€” the task is awaiting review.

The overall timesheet status for a period is shown as:

  • Approved β€” all tasks have been approved.

  • Partially Approved β€” some tasks have been approved and others rejected.

  • Rejected β€” all tasks have been rejected.

Tap on a task to view the approval timeline β€” showing when it was submitted, forwarded, and what action was taken by each reviewer.

Withdraw a submitted timesheet

You can withdraw a submitted timesheet if the reviewer has not yet taken any action on it.

  1. On the My Timesheets screen, open the submitted timesheet period.

  2. Tap Withdraw.

  3. Confirm the withdrawal.

The timesheet returns to draft state and you can make changes before resubmitting.

Note: The Withdraw option is not available once a reviewer has taken action on any task in the timesheet.

Validations

Your timesheet entries are based on your organisation's policy configuration. You may encounter the following restrictions when logging or submitting time:

Day type restrictions
If your admin has restricted time logging on certain day types, you will not be able to add tasks on those days. Restricted day types include rest days, holidays, leave days, and off days.

Submission window
You can only submit your timesheet within the configured submission window. If the submission window has passed, the Submit button will not be available for that period.

Minimum and maximum duration
Each task entry must meet the minimum duration set by your admin. Additionally, your total logged hours cannot exceed the maximum limit configured per day, per week, or per month. Entries that fall outside these limits will trigger a validation error.

Time entry beyond attendance hours
If your admin has restricted time logging to attendance hours:

  • Past dates β€” you can only log time within your recorded swipe-in and swipe-out duration for that day.

  • Present date β€” time entry is validated against your current attendance record at the time of logging.

  • Future dates β€” time entry is not allowed beyond the configured shift hours since attendance records are not yet available.

Missing mandatory fields
Depending on your organisation's policy, the following fields may be mandatory when logging a task:

  • Project β€” you must select a project before saving the task.

  • Note β€” you must add a note before saving the task.

  • Attachment β€” you must upload an attachment before saving the task.

If any mandatory field is left empty, a validation error will appear and the task cannot be saved until all required fields are filled.

Frequently Asked Questions

Where do I find Timesheets in the greytHR mobile app?

Open the greytHR mobile app, tap Explore from the bottom navigation, then tap Timesheets > My Timesheets.

What does the timesheet summary at the top of the screen show?

The summary shows three details for the current period β€” the number of days you have logged tasks for, the total hours logged so far, and the time remaining to be logged based on your expected total.

How do I log time for a day?

Tap the arrow (β†’) next to the day on the My Timesheets screen and tap Add New Task. Select the project, enter the task name, choose billable or non-billable, enter the start and end time or total hours, add a description, and tap Save.

Can I log multiple tasks for the same day?

Yes. After saving a task, tap Add New Task again on the same day to add more tasks. There is no limit to the number of tasks you can log per day.

Can I edit or delete a task after logging it?

Yes. Tap on the logged task to edit or delete it, as long as the timesheet has not been submitted yet.

What is the difference between billable and non-billable hours?

Billable hours are time spent on work that is charged to a client or project. Non-billable hours are time spent on internal tasks. The option to log non-billable hours within a billable project depends on how your admin has configured the project.

Why can't I see certain projects when logging a task?

Only projects assigned to you by your admin are available in the dropdown. If a project you expect to see is missing, check with your admin to confirm you have been added to the relevant employee filter for that project.

Can I copy tasks from a previous day?

Yes. Tap on the day you want to copy tasks to, tap Copy Tasks, and select a past date from the calendar. The calendar shows only dates that have tasks logged. Review the copied tasks and tap Confirm. You can edit the tasks before submitting.

When can I submit my timesheet?

You can submit your timesheet once you have logged all the required hours for the period. The submit option becomes available when your timesheet is complete.

What information is shown on the submission confirmation screen?

The confirmation screen shows the submission period, total hours logged, time remaining, and the name of the reviewer your timesheet is being sent to.

Can I submit a partial timesheet?

This depends on your organisation's policy configuration. Check with your admin if you are unsure whether partial submissions are allowed.

How do I track the status of my submitted timesheet?

On the My Timesheets screen, each task shows its current status β€” Approved, Rejected, or Pending. The overall timesheet status for the period is shown as Approved, Partially Approved, or Rejected. Tap on any task to view the full approval timeline.

What does Partially Approved mean?

Partially Approved means some of your tasks for that period have been approved and others have been rejected. You can tap each task to see which were approved and which were rejected, along with any rejection reasons.

Can I withdraw a submitted timesheet?

Yes, but only if your reviewer has not yet taken any action on the timesheet. On the My Timesheets screen, open the submitted period and tap Withdraw, then confirm. The timesheet returns to draft state and you can make changes before resubmitting.

What happens after I withdraw a timesheet?

The timesheet returns to draft state. You can edit your tasks and resubmit. The resubmission is treated as a new submission and goes back to your reviewer for approval.

Why is the Withdraw button not available?

The Withdraw option disappears once a reviewer has taken action β€” approved, rejected, or forwarded β€” on any task in your timesheet.

Why is my timesheet submission blocked with an error?

This can happen if a project you have logged time against has been disabled by your admin after you logged time for a future date. Contact your admin to resolve this.

Can I view my shift timings and swipe details from the timesheet screen?

Yes. Tap on any date on the My Timesheets screen to view your shift timing, scheme, swipe-in time, swipe-out time, and the swipe method used for that day.

Can I log timesheets for past periods?

This depends on your organisation's policy. Your admin can restrict backdated submissions. If you are unable to log time for a past date, check with your admin.
