As a manager, keeping track of your team's work hours alongside your own responsibilities can be difficult. Without a clear view of who has submitted their timesheets, which submissions are pending your action, and who is at risk of missing the payroll deadline, it is easy for things to slip through.
greytHR's Timesheet module on the mobile app gives you the visibility and control you need. You can review your team's timesheet submissions, approve or reject individual tasks, track payroll readiness, and log your own work hours β all from within the greytHR app.
You can access timesheet review from two places in the greytHR mobile app:
Explore > To Do > Review > Timesheets
Homepage > Review section β this appears when you have pending timesheet requests awaiting your action.
Note: The Timesheets option under Review is visible only to users with manager or reviewer access.
The review screen opens on the Active tab by default, which lists all employees with timesheets pending your review.
Each request card displays:
Employee name and ID
Submitted for (period)
Submitted on (date)
Status
You can search for a specific employee using their name or employee ID.
Tap a request card to open the Timesheet Details screen, which shows date-wise task logs for the submitted period.
Tap on a task card to view the task details. Tasks are pre-selected as Accept by default. You can change the action for each task individually.
Review the task cards β they are pre-selected as Accept by default.
Tap Submit.
A confirmation modal appears showing:
Submitting for (date range)
Remarks (Optional β up to 200 characters)
Tap Confirm.
The timesheet is approved, the status changes to Approved, and the request moves to the Closed tab.
Select Reject on the task card.
Enter a Reason for Rejection. This is mandatory.
Tap Submit.
A confirmation modal appears showing:
Submitting for (date range, with a tooltip indicating rejected dates)
Remarks (Mandatory)
Tap Confirm.
The timesheet is rejected, the status changes to Rejected, and the request moves to the Closed tab.
Tap the Closed tab to view all completed timesheet requests β Approved, Rejected, and Forwarded.
You can search for a specific employee using their name or employee ID. For each closed request, you can view:
The approval or rejection timeline
Date-wise task logs for the submitted period
Navigate to Explore > Timesheets > Team Overview for a comprehensive view of your team's timesheet status and insights.
Team Overview has three sections: Team Summary, Insights, and By Teammates.
The Team Summary shows your team's overall payroll readiness for the current period.
When the team payroll is at risk:
A risk indicator appears when timesheets have not been submitted by the configured due date.
The count of pending approvals is displayed.
The count of teammates at risk is displayed. Tap on any at-risk employee to open a bottom sheet showing their risk overview β week-wise, with a Review button. Tap Review to see their date-wise task logs.
When the team payroll is ready, the status is shown as Up to date.
The Insights section displays the following for the current period:
Date range of the period
Submissions distribution β breakdown of Pending, Approved, Rejected, and Forwarded submissions
Time logs distribution β Pending, Approved, Rejected, and Forwarded
Logged hours β toggle to view in weekly format
Billable vs non-billable hours
Resource allocation across projects
The Resource Allocation section shows project-wise details. Tap on a project card to view the list of employees assigned to it.
You can also view Unassigned Employees β employees who have not been assigned to any project. Tap the card to see the list.
The By Teammates tab lets you view individual team members' timesheet details.
Tap By Teammates.
The list displays all your team members. Search by name or employee ID if needed.
Tap on a team member to open their timesheet view, which shows:
Week selector β navigate to the week you want to review.
Logged vs required hours for the selected week.
Day-wise task entries.
Status of each entry.
Note: This is a view-only access. You cannot edit or modify an employee's logged hours from this view.
Open the greytHR mobile app, tap Explore from the bottom navigation, then tap Timesheets > Team Overview.
Yes. From the Timesheets menu, tap My Timesheets to log and manage your own time entries. As a manager, you have access to both My Timesheets and Team Overview.
Team Overview displays all your direct reports along with their timesheet status for the current period. You can tap on any team member to view their submitted timesheet in detail β including individual tasks, hours logged, and billability.
Yes. Tap the Closed tab on the review screen to view all completed requests β Approved, Rejected, and Forwarded. You can search by employee name or ID and view the timeline and date-wise logs for any closed request.Β
Tap on the team member's request card from the Active tab, then review the individual task cards. Tasks are pre-selected as Accept by default. Change the action to Reject for any tasks you want to reject. Tap Submit β a confirmation modal appears where you can add remarks before confirming. Once confirmed, the overall timesheet status updates automatically based on the actions taken.Β
You can accept, reject, or forward each task individually. For each action, a confirmation modal appears where you can review the submission details and add remarks β remarks are optional when accepting and mandatory when rejecting. This means you can accept some tasks and reject others within the same submission, which results in a Partially Approved status for that period.Β
Approved β all tasks in the timesheet have been approved.
Partially Approved β some tasks have been approved and others rejected.
Rejected β all tasks in the timesheet have been rejected.
Yes. A reason for rejection is mandatory whenever you reject a task. You will not be able to confirm the rejection without entering a reason. .
On the Active or Closed tab, use the search bar to look up an employee by name or employee ID. Tap their request card to open the timesheet details.
The Active tab shows timesheets that are pending your review and action. The Closed tab shows completed requests β timesheets that have been Approved, Rejected, or Forwarded.
Each request card on the review screen displays the employee's name and ID, the period the timesheet was submitted for, the date it was submitted on, and the current status.
When you forward a timesheet, a confirmation modal shows the name and ID of the next reviewer it is being forwarded to. Once confirmed, the status changes to Forwarded and the request moves to the Closed tab.
Payroll Readiness indicates whether a team member is ready for payroll processing for the current period. A team member is Payroll Ready when they have submitted all required timesheets, have no pending approvals, and have no unlogged time remaining.
A team member marked At Risk has not met one or more payroll readiness conditions β they may have unsubmitted timesheets, pending approvals, or unlogged time. Tap on the At Risk status to view the specific reasons.
Yes. Tapping on an At Risk team member shows the reasons for their status. If there are pending approvals in your queue, you can review and act on them from there.
If your organisation has configured an auto-forward rule in the timesheet policy, the submission will automatically move to the next reviewer level after the configured number of days of inactivity. You may also receive a reminder based on the policy settings.
Yes, if your organisation's policy has multi-level reviewers configured. Use the Forward action on a task to pass it to the next reviewer level.
Once you have taken action on any task in a timesheet, the employee can no longer withdraw it. The Withdraw option is only available to employees before any reviewer action has been taken.
The Insights section gives you a summary of your team's timesheet activity for the current period β including a breakdown of submissions by status (Pending, Approved, Rejected, Forwarded), time logs distribution, total logged hours, billable vs non-billable hours, and resource allocation across projects.
The By Teammates tab lets you view individual team members' timesheet details. Select an employee to see their week-wise logged hours, day-wise task entries, and submission status. You can use the week selector to navigate between periods. This is view-only β you cannot edit a team member's logged hours from this view.
