The Performance Management System (PMS) serves as a tool that integrates individual employee goals with the company's strategy. It promotes development through precise goal setting, evaluations, feedback, and rewards. This enhances overall organizational success.
Goal Plans are essential in PMS. Goal plans act as a guide for employees to align their efforts with company goals. These plans serve as benchmarks for evaluating performance, providing continuous feedback, conducting performance appraisals, and highlighting opportunities for training and development.
The Goal Plans page in the greytHR ESS portal allows you as a manager to set clear, measurable goals for your team members. You can also approve or reject your teams' goal plans and assign new goals. Goals foster engagement, enhance performance, and promote growth for teams and the organization.
The page displays the following tabs:
My Plans: This tab displays your goal plans.
Team Plans: This tab displays your team members’ goal plans. You can filter the team’s goal plans according to Plan Status, Plan Type, and Performance Period using the filter icon available on the right side of the page.
Control Panel: This tab is like a dashboard that gives you a summary of the goal plans. It allows you to manage goals by performing actions such as sending notifications to employees and their managers to assign and complete their goals through emails. You can also create new goals for your team members.
You can perform the following actions on the Goal Plan page:
Approve/Reject your team members’ goal plans.
Assign goals to your team members.
Manage employee/team goals.
Goal Plans are specific targets managers set for the employees to achieve within a set timeframe. They serve as benchmarks for measuring progress and success. As a manager, you must approve/reject the goals set by your team members/employees.
To approve/reject goal plans, perform the following actions:
From the greytHR ESS portal, navigate to Performance > Goal Plan. The Goal Plan page opens.
Under the Team Plans tab, from the dropdown list, select a team member whose goal plan you want to approve or reject. A list of goal plans appears.
Select the goal plan that needs approval and click View Plan.
Note: You can identify the goal plan for approval by checking the Status which displays Pending for Approval. The selected goal plan opens.
Under the Goals and Milestones column, in the Pending for Approval section, click the Accept/Reject buttons to approve or reject the goal plan. The Accept/Reject pop-up appears.
Note: If you reject the goals then enter the remarks for rejection in the Remarks text box.
In the Remarks text box, enter the remarks.
Click Confirm. You will notice that the Pending for Approval section’s status changes to Accepted Goals/Rejected Goals.
Note:
As a manager, you can view the goals of your direct and indirect team members.
You and your team members can also:
View the progress and the status of each Goal and Milestone under the Progress and Status columns.
Update the status of each milestone from the Goals page by clicking the → available on the required goal and then dragging the status bar of the required milestone.
Copy the goal/milestone by clicking the Link icon available next to each Goal/Milestone.
Add comments under the Comments section and view a detailed description of the goal/milestone activities under the Activity Log section.
To assign goals to your team members, perform the following actions:
From the greytHR ESS portal, navigate to Performance > Goal Plan. The Goal Plan page opens.
Under the Team Plans tab, from the dropdown list, select or search for the employee to whom you want to assign goals. A list of goal plans appears.
Select the required goal plan and click Get Started. The selected goal plan opens.
Note: You can create new goals by clicking the Create Goal button or assign goals for the configured goal plan.
Under the Unassigned Goals section:
Double-click the Category dropdown list to select the required category.
Double-click the Enter goal here text box to add a goal for the selected employee.
Double-click the Weightage text box to add weightage.
Note: You must ensure to classify your goals to match the weightage equivalent to 100.
Double-click the Enter milestone here text box to add a milestone for the goal.
Note: Milestones are small, achievable tasks for each goal. The progress of the goal is achieved by tracking the progress of the milestones. You can enter multiple milestones based on the goals.
Double-click the Weightage text box to add weightage to the milestone. You must ensure, to sum up the milestone weightage to 100.
You can also delete the goal by clicking the Delete icon.
Click Assign. The Assign Goals pop-up opens.
In the Remarks text box, enter the remarks.
Click Confirm to assign the goals to the selected team member/employee. The goals appear on the selected team member’s portal.
Note:
The Progress column displays the progress of the goals and milestones.
The Due On column displays the due date of the goal and milestone. You can also edit the due date for that specific milestone or goal.
The Status column indicates if the goal and milestone are Not Started, In Progress, or Completed.
You can notify the team members/employees to set their goals through email. To send a notification, perform the following actions:
From the greytHR ESS portal, navigate to Performance > Goal Plan. The Goal Plan page opens.
Navigate to the Control Panel tab.
From the dropdown list available on the left side of the page, select the required goal plan.
Click the Notify button available on the topmost panel of the page. A pop-up opens.
Click Confirm to notify the employees through email to set their goals.
Note:
You can notify the employees who have not started working on goals by clicking the Notify button available under the Not Started and In-Progress cards.
You can notify the employees to add goals for any unassigned goals.
You can also notify specific employees to assign goals by scrolling down, selecting the required employees, and clicking the Notify button.
You can manage your team members’/employees' goals, by performing the following actions:
From the greytHR ESS portal, navigate to Performance > Goal Plan. The Goal Plan page opens.
Navigate to the Control Panel tab.
From the dropdown list available on the left side of the page, select the required goal plan.
Scroll down to the Employee Goals section to manage your team's goals. From here, you can:
Auto resize columns: Hover over the columns and use ↔ to auto-resize the columns as per your requirements.
Group columns: You can group the required columns by performing the following actions:
Click the Columns option on the right side of the table. A list of all the columns appears.
Select the required checkboxes to add/remove the columns from the table.
Click the Bento (⁝⁝⁝) icon available next to each column name to drag and drop the selected columns. The selected columns are grouped accordingly in the grid.
Pivot mode: Click the Columns option on the right side of the table and enable the Pivot Mode to view the grouped columns in the pivot mode.
Add filters: You can add numeric filters by clicking the Hamburger (≡) icon available on each column.
The Assigned column displays the total goals assigned to a specific employee.
The Not Started, In Progress, and Completed columns display the status of the individual status of the assigned goals.
