After an employee submits an expense request, as a manager, you need to ensure that the request submitted by the employee is accurate, valid, and in line with company policies.
Using the greytHR Mobile App, you can quickly review each request, verify the details and attachments, and take appropriate action either by approving, rejecting, or overriding it. You can also forward it to the next reviewer based on the admin configuration.
This streamlined process helps maintain transparency, speeds up reimbursements, and ensures accountability in managing company expenses.
To review an expense request, log in to your greytHR Mobile application, tap on the Explore option, and select To Do > Expense. Alternatively, you can tap on the Expense card under the Review section on the home screen.Â
On the Expenses screen, under the Active tab, you can view all the requests pending for review.
Click on the ↗️icon to view the expense details.Â
On the Expense Details screen, you can see the details such as Expense Category, submission date, and amount.Â
You can tap on View Timeline to check the timeline of the overall request.Â
Under the Expenses section, you can expand each collapsible drop-down to view the necessary details for the expense type.Â
You can tap on the Accept/Reject button.
Note: If you choose to override the amount, then tap the Override option, enter the amount and remarks, and save the changes. Â
Finally, tap on the Submit option to complete the review process for the expense request.
Note: If the request has to be forwarded, then tap on the Forward option.Â
Info: Once the HR admin begins processing and paying expenses, the expense batch is locked to prevent further changes. As a reviewer, you won’t be able to view or take any action on the expense that is locked. If you need access or have questions, you need to contact your HR admin.
As a manager, your role is to review expenses submitted by your employees to ensure they are accurate, valid, and aligned with company policies. You can then approve, reject, or override the request, or forward it to the next reviewer if configured by your admin.
You can access pending expenses in two ways:
Log in to your greytHR Mobile application, tap on the Explore option, and select To Do > Expense.
Alternatively, you can tap on the Expense card under the Review section directly on the home screen.
On the Expenses screen, under the Active tab, you will find all the expense requests that are pending for your review.
On the Expenses screen, under the Closed tab, you will find all the expense requests that are completed.
To view the full expense details, click on the ↗️ icon next to the expense request on the Active tab. This will take you to the Expense Details screen.
On the Expense Details screen, you can see crucial information such as the Expense Category, submission date, and amount. You can also expand each collapsible dropdown under the Expenses section to view more specific details such as Expense ID, Bill Number, Bill Date, Billed Amount, notes, and uploaded attachments.
You have several options:
Accept: Tap the Accept button and choose to accept the request if it's accurate and compliant.
Reject: Tap the Reject button and choose to reject the request if it doesn't meet the requirements. You may need to provide remarks for rejection.
Override: If you need to adjust the requested amount, tap the Override option, enter the new amount, add remarks explaining the change, and save the changes.
Forward: If the request needs to go to another reviewer as per the configured workflow, tap on the Forward option.
To finalize your review decision, in the Expenses section, tap each collapsible drop-down to view detailed information. Tap the Accept or Reject button to take action on the expense type as per the requirement.
Note: If you need to change the amount, select Override, enter the new amount along with remarks, and save your changes.
Once done, tap Submit to complete the review process for the expense request.
If your admin has locked the expense batch, you will not be able to take any action or view the details of the expense. In such cases, you will need to contact your admin for assistance.
